This Privacy Policy explains how Kris Rose, through the Love Celebrant website, collects, holds, uses and discloses personal information.

How Your Personal Information Is Managed

This policy is intended to explain, in clear language, what information may be collected when you visit the website, make an enquiry or engage Kris to conduct a ceremony.

You may browse most of the website without identifying yourself. However, enough information will be needed to respond to an enquiry, check a ceremony location or manage a booking.

What Personal Information May Be Collected

Depending on how you interact with Kris, the personal information collected may include:

  • your name and your partner’s name;
  • home address, email address and telephone number;
  • the type of ceremony you are planning;
  • the proposed ceremony date, time, venue and full location address;
  • information included in messages, emails, telephone calls or social media communications;
  • booking, invoicing and payment-related information;
  • identity, relationship-status and other documents reasonably required to prepare or complete a legal marriage ceremony; and
  • technical information such as an IP address, browser type, device information, website activity and form-security information.

You may also voluntarily provide personal details about family members, participants, your relationship story, cultural or religious preferences, accessibility needs or other circumstances relevant to the ceremony. Please provide only information that is reasonably necessary.

How Information Is Collected

Personal information may be collected:

  • directly from you through the website enquiry form;
  • when you communicate by email, telephone, social media or in person;
  • through documents and information provided during the ceremony-planning process;
  • from your partner or another authorised person involved in the booking;
  • from a venue, wedding professional, funeral director, family member or other person where you have authorised the referral; and
  • automatically through website hosting, security tools, cookies or similar technologies.

Where practical, information will be collected directly from you. When information is received from another person, reasonable steps may be taken to confirm that it is accurate and that the person was authorised to provide it.

How Personal Information Is Used

Personal information may be collected, held and used to:

  • respond to enquiries and provide information about celebrant services;
  • check availability for a proposed date, time and location;
  • prepare, personalise and conduct a marriage, funeral, memorial or other agreed ceremony;
  • complete booking administration, correspondence, invoicing and record keeping;
  • prepare, verify, submit or retain documents where required by law;
  • communicate with venues, wedding professionals, government bodies or ceremony participants where necessary and authorised;
  • maintain the security, reliability and performance of the website;
  • manage complaints, disputes or legal obligations; and
  • send service-related updates or marketing communications where you have consented or where otherwise permitted by law.

You may unsubscribe from optional marketing communications at any time. Service and booking communications may still be sent where they are necessary to manage your enquiry or ceremony.

Personal information is not sold. It may be disclosed only where reasonably necessary, including to:

  • government registries, departments or authorities where required for a legal marriage or by law;
  • website hosting, email, form-processing, security, cloud-storage, payment, accounting or technology providers;
  • venues, photographers, wedding suppliers, funeral directors or other professionals where you request or authorise communication;
  • professional advisers such as accountants, insurers or legal advisers;
  • a person authorised by you; or
  • law-enforcement, regulatory or government bodies where disclosure is required or permitted by law.

Some technology providers may store or process information outside Australia. The countries involved can vary according to the provider’s systems and infrastructure. Reasonable steps will be taken, where required and practicable, to use reputable providers and protect personal information.

Cookies, Forms, Analytics and External Links

The website may use cookies and similar technologies to operate forms, remember preferences, prevent spam, improve security and understand website use.

Website forms may use security services such as Google reCAPTCHA. Analytics or performance tools may also collect general technical information, including pages viewed, approximate location, browser type, device type and referring website. This information is generally used to maintain and improve the website rather than to identify you personally.

You can adjust cookie controls through your browser. Disabling certain cookies or scripts may affect form submission or other website functions.

The website may contain links to Facebook, venues or other third-party websites. Those services have their own privacy practices, and Kris is not responsible for how an external website handles your information.

Reasonable administrative, technical and physical measures are used to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

Information may be held in email accounts, secure electronic systems, website form records, cloud services, accounting records and, where required, paper files. Access is limited to people who reasonably need the information.

No internet transmission or storage system is completely secure. You should avoid sending unnecessary sensitive information through an ordinary website form or unencrypted email.

Personal information is retained only for as long as reasonably needed for the purpose for which it was collected, for business administration, or to meet legal and record-keeping obligations. Information that is no longer required may be securely deleted, destroyed or de-identified where appropriate.

Accessing and Correcting Your Information

You may request access to personal information held about you or ask for inaccurate, incomplete or outdated information to be corrected.

Access may be limited where required or permitted by law, including where providing access would unreasonably affect another person’s privacy or reveal legally protected information. If access or correction is refused, an explanation will be provided where appropriate.

Privacy Complaints

Privacy questions or complaints should first be sent to Kris using the contact details below. Please explain what happened, the information involved and the outcome you are seeking.

The complaint will be acknowledged and reviewed within a reasonable period. Further information may be requested to investigate the matter. Kris will then explain the outcome and any steps taken.

If you are not satisfied and the Privacy Act applies to the matter, you may be able to contact the Office of the Australian Information Commissioner for further guidance or to make a complaint.

This Privacy Policy may be updated when information-handling practices, website technologies, service providers or legal requirements change.
